OutlookSync for Windows synchronizes content between the portal and Microsoft Outlook 2010 and Outlook 2013. It provides a useful and transparent way to share data without needing to log into the portal. OutlookSync works silently and seamlessly in the background to keep your data in sync between your Outlook profile and web portal without the need for a clunky interface or visual distraction.
Items that sync include:
- Calendars (Personal, Workspaces)
- Contacts (Personal, Workspaces)
- Tasks & Projects (Personal, Workspaces)
- Notes
Each user can synchronize their personal calendar, contacts, tasks and notes to the portal's personal section. Workspace items (calendars, contacts and tasks) will display as folders under the Outlook folders of the same name. OutlookSync utilizes a similar push technology used in MobileSync which pushes data in real-time between the portal and Outlook. This means that changes made in the portal will reflect automatically within a few seconds in Outlook; changes mades in Outlook will reflect automatically in the portal within a few seconds.
If you previously installed and used HyperShare for Outlook, OutlookSync will synchronize with the existing folders created by HyperShare. If HyperShare was not previously installed, OutlookSync will create folders in the Calendar, Contacts, and Tasks section of Outlook to correspond with the different portal workspaces you are syncing.
After the initial sync, which can take anywhere from 5-15 minutes, you may move any content from your personal folders in Outlook to a synchronized workspace folder you wish.
NOTES
- OutlookSync for Windows requires:
- A Portal Account - a valid portal account to share data.
- Microsoft Outlook 2010 or Outlook 2013
- Windows Vista, 7, or 8.
- OutlookSync does not copy content in Outlook's Calendars, Contacts, or Tasks other than those in the default folders. For instance, the calendar in Outlook called "Calendar" will correspond with the "Personal" calendar in the portal. Any other calendars in Outlook are local calendars and are not synchronized with the portal unless they are the same names as your portal workspaces.
- Outlook profiles are typically configured with an email address. Outlook prompts you several times when creating a profile to include email support. If your Outlook profile was created without email, and you've synchronized using HyperShare in the past, OutlookSync will create new Contact folders to sync with the portal. After the initial sync with OutlookSync, compare the data between the newly created workspace folder with the previous folder. Move any content to the new folder that was not already on the portal. After this step, you may delete the folders previously used by HyperShare for syncing workspace contacts.
- Uninstalling and reinstalling OutlookSync is necessary when using a new profile in Outlook.
- Consequent upgrades for OutlookSync do not require uninstalling the previous version. In fact, uninstalling OutlookSync and reinstalling, instead of upgrading, will require an initial sync.
