How do I attach a file to email from a local drive?

  1. In the Compose Message window, click on the button to the right of attachments.  

  2. When the Attach Files To Messages page loads click the Browse button. This enables you to look through your computer and choose the file to be attached from a local drive.

  3. Once you select the file, click the Upload File button to start uploading the file from your computer to your email. When this process is complete, click the Accept Attachments button. The Attach Files To Messages window closes and your file is now attached to your message and you should see it in the box next to the word ‘attachments’.

 

How do I attach a file to email from my HyperOffice documents?

  1. In the Compose Message window, click on the button to the right of attachments.

  2. When the Attach Files To Messages page loads, click the Attach File From Documents button, which opens the Select File window. This widow lists all the directories and files under the My Documents section of your HyperOffice account.

  3. You can also choose the file to attach to your message by clicking the Attach File button and then click the Accept Attachments button. The Attach Files to Messages window closes. Your file is now attached to your message and you should see it in the box next to the word ‘attachments’.  

 

How do I create an email signature?

  1. To create an email signature, go to the Settings section in your HyperOffice account then click on Mail.The Mail button opens your Mail Preferences page on the main window of your account.

  2. Scroll down to the bottom of the page and choose Use e-mail signature from the Use Signature drop-down menu.

  3. Type the signature you would like to use in the Signature text box. Do not forget to save these changes made to your mail preferences by clicking on the Update Information button on the bottom of the page.

 

How do I set up email filters?

  1. To set up email filters, go to the Settings section in your HyperOffice account and click on Mail, this button opens your Mail Preferences page on the main window of your account.

  2. Scroll down to the bottom of the page and click the Configure Filters\Blocked Senders button.

  3. Click on Create Mail Filter and complete the details of the Mail filter you would like to build.

 

What is the difference between save backup and save draft when composing an email?

The ‘save draft’ feature in compose email lets you save an email in the Drafts Mail Folder for a later use. On the other hand, the ‘save backup’ tool saves a copy of your email in the Drafts Mail Folder while you are composing it. In both cases, the email is by default deleted when it is later modified and sent.

 

What is the pop accounts section in my HyperOffice account?

The pop accounts section enables users to create an entry point to their pop emails account. When the user clicks on the pop account access point, the system gives the user a view of all his pop emails on the pop server; however, the system does not download these emails to the user’s account, it simply reads them directly off of the server.

 

What is a POP account?

POP (Post Office Protocol) is the protocol used by most email clients to retrieve email from a mail server. HyperOffice uses this protocol to allow you to retrieve messages from existing email accounts that support this protocol.

 

Why can’t I access my other email account through the HyperOffice pop accounts section?

HyperOffice can retrieve and save any POP3 accessible email account. However it is not possible to access a non-POP3 email account. Some popular non-POP3 accounts are AOL and hotmail

 

Does HyperOffice protect my emails from viruses and spam?

The HyperOffice email system provides an anti-virus service to block viruses and prevent them from reaching your inbox. All affected emails are automatically put in the ‘Quarantine’ mail folder and deleted after a short period.  HyperOffice also provides a Spam control service that redirects all Spam emails to the ‘Spam’ mail folder.

 

I signed up for an account with HyperOffice that uses customized email and login URL, however, I still cannot access/receive emails at the account?

To check the DNS records associated with your domain name and to make sure that your “cname alias” and MX records are pointing to HyperOffice please follow these instructions:

  1. Click the start button in the lower left corner of your screen.

  2. Click Run then type in cmd in the Run window, which will open the command prompt window.

To check your cname alias, enter:

Nslookup office.yourdomainname.com

Nslookup

Set type=mx

Youdomainname.com

You can do the nslookup after you send the DNS instructions, the system has sent you at sign up, to your ISP. Please note that modifications to the DNS records could take up to 48 hours to propagate.

 

Is there a way for me to set up my HyperOffice e-mail to be forwarded to my personal e-mail outside of HyperOffice?

To set up a mail forwarder for your HyperOffice account, please follow these instructions:

  1. Login to your HyperOffice account

  2. Click the Settings header on the left navigation bar.

  3. Click the Mail icon.

  4. Scroll down to the bottom of the page, and click on 'Configure Auto Responder\Forwarder'

  5. In the Use Forwarding menu, select Forward all e-mail to the address below

  6. Enter the address to forward all your emails to in the Forwarding address area

  7. Click Update Information at the bottom of the page.

Note:  Please note that our forwarder is set up by default not to leave a copy of the email in your HyperOffice account, in order to do that, please enter both the external email address to forward to and your HyperOffice account address in the 'Forwarding Address' field separated by a comma.

 

Can I set an autoresponder to answer all my emails while I am away from the office?

To set up a mail autoresponder for your HyperOffice account, please follow these instructions:

  1. Login to your HyperOffice account

  2. Click the Settings header on the left navigation bar.

  3. Click on the Mail icon.

  4. Scroll down to the bottom of the page, and click Configure Auto Responder\Forwarder

  5. From the Use AutoResponder menu, select AutoRespond to messages with the below message

  6. Type the ‘AutoResponse Message’ in the text box.

  7. Click Update Information at the bottom of the page.

 

Can I access my HyperOffice email folders using an IMAP email client?

Yes, you can set up your IMAP email client to access all your HyperOffice mail folders. Add a link to the instructions on how to set up HyperOffice imap in the help engine

 

Can I access my HyperOffice Inbox folder using a POP email client?

Yes, you can set up your POP email client to access your HyperOffice inbox. Instructions on how to set up your POP account are similar to the IMAP set up instructions except for the POP server address: pop.hyperoffice.com.

What is the difference between an IMAP and a POP account?

IMAP

POP

IMAP only downloads/syncs the mail folders that you have subscribed to.

POP downloads only one HyperOffice mail folder: INBOX.

IMAP mirrors your Outlook mail folders to your HyperOffice mail folders. Any changes in Outlook are duplicated in HyperOffice and vice-versa.

POP deletes all emails from your HyperOffice INBOX by default.

Note: you must set Outlook to leave a copy of your messages on the server to prevent deletion of messages from your HyperOffice account.

IMAP downloads your HyperOffice mail folders in a separate Outlook mail folder called: ‘imap.hyperoffice.com’.

POP downloads all your HyperOffice emails into your Outlook INBOX, which might already contain pre-existing non-HyperOffice emails.

 

Do not use HyperOffice filters if using a POP account in Outlook because the POP protocol only downloads emails in your HyperOffice INBOX and ignores the other HyperOffice mail folders. Use the Outlook mail filters in this case.

 

 

I set up my IMAP account but I don’t see all my HyperOffice email folders?

You have to register to your HyperOffice mail folders before you can see/access them in your IMAP email client,. Add a link to the instructions on how to register to the HyperOffice folders in the help engine.

Please note that HyperOffice will automatically register you to the following mail folders:  Inbox, Spam, Sent Items, Quarantine, and Drafts.

 

 

I can’t send emails from my IMAP/POP email client?

Make sure your SMTP server address is correct. HyperOffice does not provide an SMTP server; you must use your ISP’s SMTP server address.

In case your SMTP server requires login authentication, check that your SMTP server login username and password are correct.

 

I created/renamed a folder in my HyperOffice account but I can’t see the new folder in my IMAP email client?

Creating/renaming an email folder in Outlook will automatically rename the corresponding folder in the HyperOffice application. However, if a folder is created/renamed in HyperOffice, Outlook considers it a new folder and you will need to subscribe to it.

 

I set up my IMAP account but I don’t see emails older than August 21, 2005?

Outlook does not migrate/download old emails over unless they are viewed in the HyperOffice Web interface, i.e. in order to download HyperOffice emails older than August 21, 2005 you need to first open these emails in your HyperOffice account. All emails received on/after August 22, 2005 will automatically be downloaded by Outlook.

 

 

I set up my IMAP account but I can’t view my email when in offline mode?

To have access to your unread emails in the ‘offline mode’, you must configure your IMAP email client to download the entire messages and not just the headers; otherwise, the emails will not be accessible Offline.
